Name accountable people
List the owner decision-maker, local manager, tax adviser or tax agent, judicial scrivener contact, insurer, lender, condominium manager and emergency contractor. Record language, hours, authority and backup. “The agent will handle it” is not an operating system.
For every recurring task, name one owner, due date, required evidence and escalation route. Keep the register accessible if the principal becomes unreachable.
Control cash and reconciliation
Use a Japanese bank arrangement that can receive rent and pay predictable obligations where available. Maintain a yen liquidity floor covering tax, insurance, utilities, charges and an emergency. Reconcile the manager statement to bank transactions monthly and track tenant deposits as liabilities.
Do not let one person approve, pay and reconcile large work without review. Record foreign funding, exchange rate and purpose for the ownership and tax file.
Build a property record
Store registry, purchase and important-matters documents, plans, permits, surveys, leases, deposit ledger, condominium rules and minutes, insurance, tax notices, warranties, keys and equipment information. Use consistent names and retain the Japanese originals.
Every repair should add diagnosis, approval, invoice, photographs and warranty. This evidence supports maintenance, tax basis, insurance and eventual sale.
Schedule physical checks
Set inspection frequency by occupancy, climate, building type and risk. Check moisture, leaks, drainage, ventilation, utilities, pests, security, exterior and equipment. For vacant homes, inspections should include running water or winterisation as locally appropriate and checking municipal or association notices.
Remote sensors can alert; they do not inspect a failed drain or negotiate access. Assign the human response and maximum time.
Maintain the annual calendar
Calendar fixed-asset tax, income-tax filing, insurance renewal, lender requirements, association meetings, lease events, inspections, equipment service and planned work. Save notice addresses and online access. A missed letter can become a missed deadline.
Review the ten-year capital schedule after the annual inspection and association meeting. Pre-fund large work rather than relying on urgent international transfers.
Test failure and handover
Run scenarios: water leak while the owner is asleep abroad; manager unavailable; bank transfer blocked; tenant default; storm; owner incapacity. Confirm who acts, spends, informs neighbours or authorities and preserves evidence.
Keep an exportable handover pack so the manager can be replaced. Remote ownership becomes resilient when no single inbox, person or password is the property.
A quarterly control meeting
Once a quarter, the owner and manager should review a single exception pack: unreconciled cash, arrears, open repairs, unapproved spending, complaints, expiring leases, insurance actions, tax deadlines and capital work. Each exception receives an owner and date. Routine photographs and invoices remain available, but the meeting focuses attention on what can still go wrong.
Annually, a person independent of day-to-day payment should sample bank entries back to approvals and invoices, verify the key and contract register, and test one emergency contact. This does not require a large audit; it ensures that the paper operating system matches real behavior. If evidence cannot be produced promptly, fix the control while the property is stable. Reconfirm insurer, lender, tax agent and association contact details, then export a complete handover package. A manager should be replaceable without losing the property's memory or tenant money trail.
Record every control test date, exception, corrective owner and completion evidence in the permanent property file.
